Substitutes

Certificated substitute positions are instructional roles. To be hired as a substitute teacher at CVESD, you must hold a valid California Substitute Teaching Permit issued through the San Diego County Office of Education (SDCOE).

Minimum Requirement: A Bachelor's degree or higher from a regionally accredited college or university.

How to Obtain Your Substitute Teaching Permit

Before applying on EdJoin, you will need to obtain your permit through SDCOE. Please follow the steps on the SDCOE Credentialing page: Substitute Teaching Permits | How To

Important notes from SDCOE: Do not apply directly on the CTC website — go through SDCOE first or it will delay your application. You will need official transcripts showing your degree, completed fingerprinting (CTC and Clearinghouse), and a Temporary County Certificate form. Processing takes a few days, so plan ahead before applying for open positions.

Once you have your permit:

1. Search and apply for Certificated Substitute positions on EdJoin.org
2. Complete the CVESD onboarding process
3. Begin accepting assignments through our substitute management system

Classified substitute positions are non-instructional support roles and do not require a teaching credential. These positions include roles such as Instructional Aide, Student Attendant, Clerical, CNS, Custodian and others.

Minimum Requirement: High School Diploma or GED.

Proficiency Exam Requirements by Position

The following positions require passing a proficiency exam prior to hire:

Instructional Aide – Special Education, requires the proficiency exam.

Student Attendant requires the proficiency exam.

Clerical positions require the Clerical proficiency exam.

All other Classified substitute roles are hired through standard onboarding and training, with no exam required but need a HS Diploma or GED equivalent.

Exam Waivers

Proficiency exams may be waived if the applicant holds at least an Associate's degree or has completed a minimum of 60 college units from a U.S. accredited institution.

Applicants with foreign degrees or college units earned outside the United States are not eligible for the full exam waiver. Regardless of degree level, these applicants are required to take the language and writing sections of the applicable exam. No exceptions.

How to Apply:

1. Search and apply for Classified Substitute positions on EdJoin.org
2. If selected, complete fingerprinting clearance and onboarding
3. Complete any required proficiency exams (unless waived per the criteria above)
4. Complete training and begin assignment

Please follow the directions below to receive your paid sick leave.

Substitute employees must accept their sub assignment and cancel through Aesop. Once the job(s) is canceled, click on the 'Substitute Employees' heading below to be directed to the fillable pdf form to request payment. Submit completed forms to the CVESD Substitute Desk in the Human Resources Department.

Noon Duty and Short Term at Will employees should contact their site and inform them of their absence. Click on the 'Noon Duty and Short Term at Will Employees' heading below to be directed to the fillable pdf form. Complete and submit to the school site secretary to be attached to your time card for Payroll submission.

 Substitute Employees

  • Employees are eligible to claim Paid Sick Leave after the 90th day from hire date. 
  • List all paid Sick Leave requests in hours.  Minimum request must be 2.0 hours per day.
  • Sign and submit forms to Subdesk for review and processing within 30 days of assignment. Please include the confirmation number.
  • A maximum of 40 hours can be used per school year.  Sick Leave does not roll over.
  • Qualifying paid sick leave only applies to assignments that were scheduled for a minimum of 24 hours.

  • Sign and submit form to the school/department administrator for review and processing.
  • A maximum of 24.0 hours can be used per fiscal year.
  • Employees must work at least 30 working days as of July 1, 2015 to be eligible for paid sick leave.

 Substitute Bus Drivers

  • Sign and submit form to Transportation for review and processing.
  • A maximum of 24.0 hours can be used per fiscal year.
  • Employees must work at least 30 working days as of July 1, 2015 to be eligible for paid sick leave.

The Chula Vista Elementary School District uses the Frontline Education Absence Management application to record and manage absences, and for requested positions, locate a substitute.

The Frontline Absence Management service is available to you 24 hours a day, 7 days a week, and can be accessed via the internet and phone, toll free at 1-800-942-3767.

How do I interact with Frontline?

Once you log into Frontline Frontline Education Absence Management online, you will be able to enter absences, check your upcoming absences, update personal information, and utilize other features such as uploading your lesson plans for substitutes to view online.

You can also manage your absences by calling Frontline toll free at 1-800-942-3767. Simply follow the voice menu to enter and manage absences and access other features. We recommend that you call in to check the computer recording of your name and job title. To do this, press Option 5 and follow the prompts.

Important Notes

• Login information can only be provided by Subdesk staff or a school secretary since the information was randomly generated by the system. The login ID is a phone number that was on file, and the PIN is a 4-5 numeric value.
• When entering an absence, please wait until you receive a confirmation number before you terminate the phone call or close your internet browser window. Your transaction is not complete until you receive a confirmation number.
• When logging into the system, please click on the "Help" tab, which will redirect you to the "Learning Center". Please take a few minutes to watch the videos on the "Getting Started" page to become familiar with how Frontline works.
